Security Governance

Security controls are managed through defined policies, procedures, responsibilities, and regular review.

Risk & Security Management

Security risks and dependencies are reviewed as part of our broader information security and risk management processes.
‍

Security controls are maintained and updated as services, systems, client requirements, and relevant risks evolve.

Security Policies

Employees and contractors are subject to applicable security requirements, including acceptable use, confidentiality, access control, customer data handling, and incident reporting requirements.

Security Awareness

Security awareness training is mandatory for employees and refreshed periodically.
‍

Training covers areas including:
‍

  • phishing and social engineering;
  • credential security;
  • customer data handling;
  • acceptable use;
  • security incident reporting.

Identity & Access Management

Access to customer and internal environments is managed using principles designed to minimize unnecessary access and maintain separation between client environments.

Our approach includes:

Individual Access

Each user is assigned individual credentials. Shared accounts and credential sharing are prohibited.

Role-Based Access

Access is provisioned based on the user's role, responsibilities, and relevant client or service assignment.

Least Privilege

Permissions are limited to the minimum scope necessary to perform assigned responsibilities.

Multi-Factor Authentication

MFA is enforced for applicable systems, including privileged and administrative access where supported.
‍

SSO is used where supported by the relevant system.

Access Reviews

Access rights are periodically reviewed and adjusted when responsibilities or client assignments change.
‍

Access is revoked promptly when employment or a client assignment ends.

Client Segregation

Access to client environments is segregated and granted only where required for the relevant service scope.

Identity & Access Management

We apply identity and access management controls across internal systems and client environments, where applicable, to ensure that access is granted only to authorized users and remains appropriate to their responsibilities.

Access Control Principles

Access is provisioned based on the user’s role, assigned responsibilities, and relevant client or service scope.

Our access management approach includes:

  • individual user accounts; shared accounts are not permitted;
  • role-based access control (RBAC);
  • least privilege and deny-by-default principles;
  • permissions limited to the minimum scope necessary for assigned responsibilities;
  • access to client systems limited to the systems and permissions required for the relevant service scope;
  • segregation of access between different client environments.

Access to client data and systems is granted only after the user is assigned to the relevant client or service scope.

Authentication & Credential Security

Multi-factor authentication (MFA) is enforced for applicable systems, including privileged and administrative access where supported by the system.

Single Sign-On (SSO) is used where supported by the applicable system.

Password requirements are defined and enforced through internal security policies. Credential sharing is prohibited, and credentials are stored and managed using approved secure credential management solutions.

Access Lifecycle

Access provisioning and revocation are managed through defined internal procedures.

Access rights are periodically reviewed to confirm that they remain appropriate and necessary. Permissions are reviewed and adjusted when a user’s role or responsibilities change.

Access is revoked promptly when employment or a client assignment ends and is removed whenever it is no longer required. Access to client environments is not retained between assignments unless there is a valid ongoing business need.

Temporary or time-limited access may be used where appropriate for specific tasks or roles.

Privileged Access

Privileged and administrative access is restricted to specifically authorized personnel and subject to additional controls.

Privileged access is reviewed as part of the regular access review process.

Logging & System Controls

Audit logging is enabled where supported by the applicable system to provide visibility into access and administrative activities.

Automatic session timeout and related session controls are used where supported by the applicable system.

For client-managed systems, certain IAM controls may depend on the configuration and capabilities of the client environment.

AI Security & Governance

We use AI technologies in a controlled manner and apply security, privacy, and governance principles to their use across customer delivery and internal operations.
‍

AI use depends on the specific use case, client requirements, and agreed service setup.

Core Principles

Our approach to AI is based on the following principles:
‍

Defined purpose — AI is used only for clearly defined business or service purposes.
‍

Data minimization — AI systems receive access only to the customer data necessary for the relevant use case.
‍

Customer data protection — customer data processed through AI-enabled solutions remains subject to the same confidentiality, access control, and data handling requirements as other customer data.
‍

No public model training — customer data is not used to train public or shared AI models.
‍

Client separation — AI-enabled processing is logically segregated between client environments where applicable.
‍

Human oversight — the level of human review and oversight is determined based on the use case, level of automation, and potential impact.
‍

Responsible automation — AI is not used to make fully automated decisions (including profiling) that produce legal effects concerning individuals or similarly significantly affect them.
‍

Security & privacy review — AI tools and providers used in customer delivery are subject to appropriate internal security and privacy review.
‍

Quality oversight — AI-generated outputs may be monitored or reviewed for quality and appropriateness depending on the use case.
‍

Impact assessments — prior to deploying AI solutions that involve high-risk processing of personal data, appropriate Data Protection Impact Assessments (DPIA) are conducted.
‍

AI literacy & enablement — personnel involved in deploying, operating, or overseeing AI tools receive appropriate training to ensure a sufficient level of AI literacy, enabling the safe, secure, and compliant use of these technologies.
‍

Transparency & disclosure — individuals are clearly informed when they are interacting with an AI system (e.g., chatbots, automated agents) or when significant content has been artificially generated or manipulated, ensuring alignment with transparency obligations.
‍

Risk classification and prohibited practices — AI practices categorized as unacceptable under applicable regulations (such as social scoring, subliminal manipulation, or deceptive techniques) are strictly prohibited, and an internal framework is maintained to evaluate and classify AI systems by risk level, applying dedicated compliance controls to high-risk AI use cases.
‍

Compliance — AI use is expected to align with applicable client requirements, contractual commitments, and relevant legal and regulatory requirements.

Governance

AI-related controls are reviewed as part of the company’s broader security and compliance processes.
‍

AI use may also be reassessed when there are material changes to the tool, provider, model, use case, client requirements, or applicable regulatory expectations.
